Up and running in minutes

Get your fleet's documents tracked and monitored in a few minutes. Here's how to get started.

1

Add your fleet entities

Create a record for each vehicle, driver, or trailer you need to track. Each entity acts as a container for all its associated compliance documents.

2

Attach documents and expiry dates

Upload a file (photo or PDF) and enter the expiry date for each document. You can also use the AI scanner to extract expiry dates automatically from uploaded files.

3

Let alerts handle the rest

GoExpirely monitors every document and sends automatic email alerts at 30, 15, 7, and 1 day before each expiration. No manual follow-up required.

What are entities?

In GoExpirely, an entity is any asset in your fleet that requires compliance documents. Entities are the top-level records you create, and each one can hold multiple documents with individual expiry dates.

🚛

Vehicle

Any motorized unit in your fleet — semi-trucks, box trucks, vans, and other commercial vehicles. Typical documents: annual DOT inspections, vehicle registration, and insurance certificates.

👤

Driver

CDL holders and any other licensed operator in your fleet. Track Commercial Driver's Licenses, DOT medical certificates, and drug and alcohol testing records.

🔗

Trailer

Semi-trailers, flatbeds, refrigerated units, and other towed equipment — with their own registration and annual inspection records, separate from the towing vehicle.

What documents can I track?

GoExpirely tracks any document that has an expiry date. Below are the standard document types for fleet compliance.

Driver Documents

  • CDL (Commercial Driver's License) — State-issued license required to operate a commercial motor vehicle.
  • DOT Medical Certificate (Form MCSA-5876) — FMCSA physical qualification certificate. Valid up to 24 months.
  • Drug & Alcohol Testing Records — Pre-employment, random, and post-incident testing docs required under 49 CFR Part 382.
  • MVR (Motor Vehicle Record) — Driving history report for driver eligibility review.
  • Hazmat Endorsement — TSA-issued endorsement for drivers transporting hazardous materials.

Vehicle & Fleet Documents

  • Annual DOT Inspection — Yearly commercial vehicle inspection required by 49 CFR Part 396.
  • Vehicle Registration — State-issued registration for each unit in the fleet.
  • IRP Registration — Apportioned registration for vehicles operating across multiple jurisdictions.
  • IFTA Decal — International Fuel Tax Agreement decal.
  • Insurance Certificate (COI) — Certificate of insurance confirming minimum liability coverage.

Frequently asked questions

GoExpirely is fleet compliance tracking software that monitors expiration dates for CDLs, DOT medical certificates, annual inspections, and all documents in your driver qualification files. It sends automatic email alerts before each deadline so your trucks stay compliant and on the road.

When you add a document with an expiration date, GoExpirely automatically schedules email alerts at 30, 15, 7, and 1 day before expiration. You receive alerts at each interval so you always have enough lead time to renew before the deadline.

GoExpirely tracks all driver qualification file documents: CDL expirations, DOT medical certificates (Form MCSA-5876), MVR renewals, hazmat endorsements, and drug & alcohol testing records. For trucks and trailers: annual DOT inspections, vehicle registration, insurance certificates (COI), IRP/IFTA permits, and operating authority.

Add drivers and trucks manually through the dashboard. Each driver or truck is an "entity" — you then attach documents with expiration dates to each one. The AI document scanner can automatically read expiry dates from uploaded files, so no manual entry is needed.

Yes. GoExpirely uses Claude (by Anthropic) for three things: (1) scanning uploaded documents to automatically extract expiry dates, (2) a compliance chat assistant where you can ask questions about your fleet in plain English, and (3) auto-drafting renewal notices for drivers or vendors. Your data is never used for AI training.
